Terms of Service

These terms apply when a club signs up for and uses PadelEco. Section 5 sets out how we process the player and member data your club stores in PadelEco, on your club's behalf.

1. The agreement

These terms are an agreement between PadelEco("we", "us") and the club that creates a PadelEco workspace ("the club", "you"). By starting a trial or using PadelEco, you accept these terms on behalf of the club and confirm you are authorised to do so.

Our Privacy Policy explains how we handle personal data where we act as controller, and forms part of these terms where referenced. Terms version: 2026-09-10.

2. The service

PadelEco provides online software for running a padel club, including scheduling, player and member management, subscriptions, court management, and optional integrations such as WhatsApp and Playtomic. We may improve, change, or retire features over time. If a change materially reduces what a paid plan includes, we will tell you in advance.

3. Accounts and users

  • The club is responsible for everyone it invites into its workspace and for what they do there.
  • Keep passwords confidential and tell us promptly if you suspect unauthorised access.
  • The account details you give us must be accurate and kept up to date.

4. Your club's data

The club owns the data it puts into PadelEco. You give us permission to host, copy, and process that data only as needed to provide, secure, and support the service for you. We do not sell your data or use it for advertising.

You can export your data while your account is active, and you can ask us for help doing so.

5. Data processing terms

This section applies to personal data about players, members, coaches, and other people that the club stores in PadelEco ("club personal data"). It is intended to meet the requirements of Article 28 of the GDPR.

Roles

The club is the controller of club personal data and PadelEco is its processor.

Scope of processing

  • Subject matter and purpose: providing the PadelEco service to the club.
  • Duration: for as long as the club uses PadelEco, and until the data is deleted as described below.
  • Nature: storing, organising, displaying, and transmitting data, including sending messages and synchronising bookings when the club enables those features.
  • People concerned: the club's players, members, coaches, staff, and other contacts.
  • Types of data: names, contact details such as phone numbers and email addresses, subscription and payment records, schedules, attendance, bookings, and notes the club chooses to add.

Our commitments as processor

  • We process club personal data only on the club's documented instructions, which are these terms and the club's use and configuration of PadelEco. If we believe an instruction breaks data protection law, we will tell the club.
  • Everyone at PadelEco with access to club personal data is bound by confidentiality.
  • We apply appropriate technical and organisational security measures, including those described in section 8 of our Privacy Policy.
  • The club gives general authorisation for us to use the sub-processors listed in section 5 of our Privacy Policy. We will notify club account holders before adding or replacing a sub-processor, and the club may object on reasonable data protection grounds. We impose data protection obligations on each sub-processor and remain responsible for them.
  • We will help the club respond to requests from people exercising their data protection rights, and forward any such request we receive directly.
  • We will notify the club without undue delay after becoming aware of a personal data breach affecting club personal data, and provide the information the club reasonably needs to meet its own obligations.
  • We will provide reasonable help with data protection impact assessments and with consultations with supervisory authorities, where they relate to PadelEco.
  • When the club closes its account, we will delete club personal data after giving the club the opportunity to export it, unless the law requires us to keep it.
  • We will make available the information reasonably needed to demonstrate compliance with this section, and respond to reasonable audit requests made with advance notice.

The club's responsibilities as controller

  • Have a valid legal basis for the data the club stores and for each way it uses PadelEco, and give players and members the privacy information the law requires.
  • Obtain any consent needed before contacting people through WhatsApp or other channels.
  • Obtain parental or guardian consent for junior players where local law requires it.
  • Avoid storing special category data, such as health information, unless the club has a lawful basis and it is genuinely necessary.

6. Acceptable use

You must not use PadelEco to:

  • break the law or infringe anyone's rights, including privacy rights;
  • send unsolicited or bulk messages, or messages that break WhatsApp's or Meta's business policies;
  • try to access another club's workspace or data, or probe, disrupt, or overload the service;
  • copy, resell, or reverse engineer the service, except where the law allows it.

We may suspend access where needed to stop serious misuse or protect the service and other clubs, and will tell you why.

7. Third-party integrations

When the club connects WhatsApp, Playtomic, or another third-party service, the club's use of that service is also governed by that provider's own terms. We are not responsible for third-party services being unavailable or changing how they work, although we will make reasonable efforts to keep integrations working.

8. Trial, plans, and fees

  • The free trial gives the club access for the trial period shown at sign-up, at no cost.
  • When a trial ends without an upgrade, the workspace moves to read-only mode: the club's data stays available, but changes are blocked until the club chooses a paid plan.
  • Paid plans are charged at the prices shown on our pricing page when the club upgrades, unless we agree otherwise in writing. Prices exclude applicable taxes.
  • We will give at least 30 days' notice of any price change for an existing paid plan.

9. Availability and support

We work to keep PadelEco available and reliable, but we do not guarantee uninterrupted or error-free operation. Planned maintenance and events outside our control may cause interruptions. Support is available by email at webreathpadel@gmail.com.

10. Ending the agreement

  • The club can stop using PadelEco and ask us to close its account at any time.
  • We may end the agreement or suspend access if the club seriously or repeatedly breaches these terms, or does not pay fees that are due, after giving notice and a reasonable chance to fix the problem where that is possible.
  • When the agreement ends, section 5 continues to apply until club personal data has been deleted.

11. Liability

PadelEco is provided on an "as is" basis to the extent the law allows. Neither party is liable for indirect or consequential loss, or for loss of profit, revenue, or goodwill. Our total liability under these terms is limited to the amount the club paid us in the 12 months before the event giving rise to the claim.

Nothing in these terms limits liability that cannot be limited by law, including liability for fraud or for death or personal injury caused by negligence.

12. Changes to these terms

We may update these terms. For changes that materially affect the club, we will email club account holders at least 30 days before the change takes effect. Continuing to use PadelEco after that date means the club accepts the updated terms; if it does not, it can close its account before then.
